Using ePact

How to add a document for signing

Logged-in users create a new projects from the dashboard by simply clicking "Create Draft". Add a name for the project, upload one or more documents, add emails and names for one or more signers and click "Create Draft". That's it.

How you may edit draft projects

Before sending out requests for signing, you may want to edit your projects.

Often everybody doesn't need to sign all documents. Maybe you want to apply an order in which people sign (so you don't bother someone with a request to sign before someone else has signed). Or maybe some of the documents are only appendices that should not be signed. You can also specify what signature the individual signers may use.

If you know that some signers are represented by a lawyer or other adviser, you may want to submit the document to them so that their client only signs, once they have approved the documents.

Until you send out the requests, you can also add or remove signers, or add or remove documents.

Do everybody need MitID

No. We live in an international world and we routinely contract with people who don't have MitID. ePact reflects that reality.

With ePact you may specify which signers that are required to sign with MitID and which may use drawn signatures (touch signature).

It's always a good idea to use a strong digital signature as MitID if the signers have it.

How to ask your lawyer to review documents

Once you receive a document for signing, you may want to ask your lawyer or another adviser for a review of the document. With ePact that's easy. You just add the email of your adviser and submit the documents for her review.

How to sign

You just click "Sign" and follow the flow you are used to using either MitID or drawn signature. You will receive a copy of the signed document once everybody has signed.

What if you don't want to sign

Just click "Reject" or ignore the request.

Can I sign documents using my cell phone?

Yes, with touch signature or MitID key card you can easily sign using your smart phone!

What do I do if I have several contracts that need signing?

If it's the same signers that are supposed to sign the contracts, you just upload the contracts and send them out for signing together. You can even do this if some signers are not supposed to sign all contracts; when you have created the draft, you can easily indicate which signers are meant to sign the different documents!

How can I see who hasn't signed the documents?

If you were the one who sent the documents for signature, you can access the documents from the Dashboard, on the menu item "Sent". Here, you will find the specific case. When you open the case, you can see whether the different signers have 1) seen the documents, 2) signed the documents, or 3) rejected the documents.

If you have received documents for signature, and you are a registered user, you find the same information via the Dashboard in the menu item "To Sign".

If you are not a registered user, you can either sign up or see some of the same information via the link in the email you received (also after you sign it). You will find it in the right hand side, next to the document.

If something went wrong, can I then recreate the case and send it out again??

If by accident you added the wrong email address or name, or you forgot to add a signer or a document, and the case has already been submitted for signing, then go to Dashboard. You will find the case on the menu item "Sent".

Before you delete the case, consider copying the case so that you won't have to enter all the information again. This will clone the case. You find the clone under the menu item "Drafts" where you can then correct the wrong information before sending the case for signature once more.

Can I correct an email addess after I've sent out a case?

No. Due to security reasons, we have decided not to allow this because the identity of the other parties to a contract often is of great importane. If someone has already read the documents, or even signed the documents, it's not fair if the identitity of co-signers is changed.

If by accident you added the wrong email address or name, and the case has already been submitted for signing, then go to Dashboard. You will find the case on the menu item "Sent". Before you delete the case, consider copying the case so that you won't have to enter all the information again. This will clone the case. You find the clone under the menu item "Drafts" where you can then correct the wrong email address before sending the case for signature once more.

Managing your account

Login and password

You find the log-in in the upper right corner of all pages. You need your email and password to log-in. If you forget your password, you can reset your password here: https://www.epact.eu/accounts/password-reset/

Account settings

You change your account settings, such as password, email, name, and title and picture (if any) from your profile page.

Change payment details

You can edit or delete your credit card details from your profile page where you can also buy more signatures.

Delete your account

You can delete you account at any time you want. If you delete your account, all transactions and documents will also be deleted form our system. You personal information, including your credit card details, will be deleted.

Please note, that signed documents will remain valid, and that we will keep information for validation purposes about the hash of the signed documents, as well as the signers.

Also note, that although you delete your account, you will still have all documents that you have downloaded, and signers and people copied in on transactions as reviewers or otherwise, will also have a copy in their email. Unspent signatures, if any, will not be refunded.

Can I give employees access to use my ePact business account?

Yes! Click on your name in the upper right corner of the screen in order to open a dropw-down menu. Chose the menu item "Manage Employees". This is where you add sub accounts. When you purchase signatures, your sub accounts can also use them.

If your account is the one which is supposed to be a sub account, then write to us and we will set up your account so that it becomes a sub account to another account.

Safety and security

Encryption

At ePact we take security serious. All communication between your browser and our server, including when you upload documents, is secured with SSL encryption. Once you upload documents, they too will be encrypted on our servers.

Storage

All documents at rest on ePact's servers are encrypted with 256 bit encryption. Our servers are located at dedicated servers inside secure hosting providers within the European Union (Finland).

Our hosting provider lives up to strict security requirements and has attained certification in accordance with DIN ISO/IEC 27001.

Links to sign

Signers are invited to sign via a link. The link contains a 32 bit randomly generated code.
